The Sidebar

The Sidebar on the left-hand side of the Akaunting UI lets you quickly access your notifications, profile, and favorite features from anywhere in the Akaunting UI.

By default, the Sidebar has the following:

* Profile
* Notifications
* Search
* New
* Settings
* Support
* Favorites

Profile

In the Profile menu, you can update your profile, see subscription plans, manage roles, claim rewards, and log out from Akaunting.

When you click on the Profile icon on the Akaunting UI, it expands to reveal the following:

* Profile

Update you make an update to your name, email address, and picture. You can assign a role (manager, accountant, employee) to a profile if you manage multiple companies.

Additionally, you can set a default dashboard and language on the profile page.

* Plans

You can access the Akaunting pricing plans page.

* Users

Invite users to your company as managers, accountants, or employees and control the dashboards each can access.

On the Standard plan, you can only invite one person – an accountant, manager, customer or employee.

* Roles

The Four default roles on the Akaunting Standard plan are Accountant, Customer, Employee, and Manager.

Each role has a set of predefined permissions by default.

Accessing and Viewing Reports

Akaunting provides features for accessing and viewing reports for Installed apps such as CRM, Double-Entry, Payroll, and many others.

Financial reports use your default currency selected from Settings > Default page.

Accessing and Viewing Reports:

* Go to Reports on the Navigation Menu.
* See a categorization of reports on the Reports page based on installed features such as Accounting, Income & Expenses, Double Entry, CRM, Payroll, Projects, etc.
* Click the report of a category to access report data.
* You can Print or Export reports from the Reports data page.
* Use the search bar on the Report data page to filter reports.

You can pin reports to the top of the reports page for quick access. Click the Pin icon on a report.

Transactions

With the transactions feature, you can create income and expenses and import bank records into Akaunting.

Creating a New Income

* Go to Banking on the Navigation Menu
* Select Transactions from the dropdown options.
* On the Transactions page, click New Income.
* Enter the required details – Date, Payment method, Account, Amount, Category, and Transaction number.

* Then, Save.

Creating a New Expense

* Go to Banking on the Navigation Menu
* Select Transactions from the dropdown options.
* On the Transactions page, click New Expense.
* Enter the required details – Date, Payment method, Account, Amount, Category, and Transaction number.
* Then, Save.

Connecting Transactions to Invoices or Bills

When you create an Income or Expenses in Transactions, you can connect them to Invoices or Bills.

You need first to create an invoice with the same transaction amount you want to connect.

Check out how to create an invoice.

* From the Transactions page, Select a Transaction without an Invoice or Bill.

You can also hover over the Transaction and click on the three dots to reveal the Connect option.

Search, Filter, and Update Ticket Status

Search, Filter, and Update ticket status created in Helpdesk.

Note: To use the Helpdesk features, you need to Install or Purchase the Helpdesk App.

Search or Filter Tickets:

* From your Akaunting Dashboard, Click Helpdesk on the Navigation Menu Panel

* You’re redirected to a list of tickets clients or the User created.
* Enter a search term in the search bar to search for tickets.
* You can also search for tickets by using the Filter option. Tickets can be filtered by Category or Status.

Update Ticket Status

When a Client has created a ticket, you can update its status.

* From the Tickets list page, Click a ticket.
* On the Ticket details page, click Open.

Note: You can’t directly update a ticket’s status from Open to Solved. You first need to update it to Pending.

Adding Payment to an Invoice

When an invoice recipient makes a payment for an invoice, you can mark that invoice as paid by selecting Add payment on the invoice details page.

Adding Payment to an Invoice:

* Go to Sales on the Navigation Menu and select Invoices.
* On the Invoices page, click on an Invoice to display invoice details.

* In the Get Paid section, select Add Payment. (Ensure you have confirmed payment from the recipient before completing this action.)
* Enter the required details in the Add Payment pop-up window. Date, Amount, Payment method, and Account are compulsory fields.
* Switch Tabs on the pop-up window from General to Other for payment description, Transaction Number, and Reference.
* Then, Save.
* Once saved, the Invoice status is updated to Paid.

To accept online payments on Akaunting, add your preferred payment methods.

Deleting Invoice Payment

If an invoice was marked as paid without payment confirmation, you could delete the payment.

* On the Invoices page, click on the Invoice with Paid status to display details.
* In the Get Paid section, select Delete Payment.
* A pop-up window prompts confirmation.
